Job description:

Our client, one of the top law firms in the country is looking to appoint a Legal Secretary. 

Main job function: 

The candidate for this position will be successful if they are able to execute a variety of secretarial duties of a confidential nature. These tasks will include working with attorneys, paralegals, and other members of the firm with a series of administrative functions. Therefore, the candidate will have to have effective time managements and organisational skills coupled with the ability to be detail oriented.

  • Maintain partner(s) and/or professionals’ diary including the coordinating and liaising with relevant parties with regard to meetings and to prepare all documentation for appointments and travel
  • Filing, organising and maintaining documents, case files and law libraries
  • Opening and closing of legal files in accordance with the firm’s policies and procedures
  • Organise and maintain legal files in accordance with the firm’s policies and procedures
  • Assist in handling legal administration requirements
  • Assist in the preparation and processing of legal documents
  • Prepare, serve and file of court documents
  • Prepare legal documents such as notices and letters
  • Print all correspondence, pleadings and documents and file same in physical / hard copy files
  • Ensure documents dispatched are accurate
  • Manage incoming mail and documents
  • Liaise with messenger / driver
  • Assist with legal research
  • General office administration and management
  • Dictation typing
  • Thorough knowledge, understanding and experience in employment law / labour relations
  • Follow up with clients regarding payments and keep a log of all client contacts
  • Compile and submit weekly outstanding reports (payments from client and report to accounts department once a week)
  • Ensure compliance with FICA
  • Complete time sheets and capture time on CMS / Adarant
  • Keeping track of attorney time records and billing

Qualifications:

  • Grade 12 (Matric)
  • Paralegal / Legal Secretarial qualification
  • Minimum of 5 years’ experience as a legal secretary within a law firm
  • Minimum of 5 years’ experience in employment law / labour relations (Non-negotiable)

Experience:

  • Knowledge of CMS / Adarant
  • Knowledge of Microsoft Office Suite
  • Knowledge of Billback
  • Knowledge of basic numeracy and literacy skills
  • Knowledge of administrative and clerical procedures and systems
  • Communicate effectively both verbally and written
  • Promote collaboration across functional and geographical boundaries
  • Demonstrate the ability to anticipate and plan
  • Demonstrate customer focus
  • Constructive teamwork
  • Work with speed and accuracy

Job working conditions:

  • Own transport essential
  • Mon – Fri | 08h00 – 16h30
  • On-site based in Sandton, Johannesburg

Remuneration: R 30, 000 to R 34, 000 basic salary
